Source of Truth
What Is a Source of Truth?
A source of truth is the information an organization recognizes as the most authoritative reference for a specific purpose. It establishes a single point of reference when multiple versions of the same data exist, allowing work to be performed from a common understanding.
In the case of a P&ID, the engineering design tool or drawing would be your source of truth, and your system of recordWhat is a System of Record? A system of record is the author... More would have a PDF of the P&ID. This would be stored in your EDMS for regulatory requirements, facilities engineering and project work.
A source of truth is not determined by where information resides. Instead, it is defined by the role that information plays within the organization and its recognized authority for a particular business purpose.
Recognizing the Signs of Inconsistency
One of the clearest signs that a source of truth has not been established is when the answer to a business question changes depending on which system is consulted.
Common indicators include:
- Conflicting values between applications.
- Uncertainty over which record reflects the latest update.
- Repeated effort spent comparing reports.
- Different departments reaching different conclusions from the same data.
As these situations become more common, organizations begin relying on personal experience rather than established information. Knowledge held by individuals gradually replaces confidence in the underlying data.
How Trust Is Established
Information does not become authoritative simply because it resides within a particular application. Trust develops through disciplined governance, active change managementReVisionz · Change Management - ReVisionz Terminology Gloss... More and consistent use over time.
This typically requires:
- Defined ownership for maintaining information.
- Controlled processes for making updates.
- Organization-wide agreement on which information is authoritative.
When these practices are in place, users spend less time validating information and more time applying it to their work.
Supporting Connected Systems
Modern digital environments depend on information moving between many different applications. As more systems exchange data, maintaining consistency becomes increasingly important.
A source of truth provides the reference that keeps those environments aligned. Rather than expecting every application to determine which information is correct, organizations establish a trusted reference that other systems can use with confidence.
This allows information to move more consistently across the digital environment while supporting more reliable business decisions.
